Job Description

The Executive Assistant (EA) to the CEO plays a pivotal role in supporting the CEO by managing day-to-day operations, streamlining communications, coordinating strategic initiatives, and ensuring optimal use of the CEOs time. This position requires high levels of professionalism, discretion, attention to detail, and the ability to manage complex tasks in a fast-paced environment.


Role & responsibilities

1. Calendar & Schedule Management

  • • Manage and optimize the CEOs daily calendar, appointments, meetings, and travel plans.
  • • Coordinate internal and external meetings, including board meetings and leadership sessions.
  • • Act as the gatekeeper, prioritizing appointments and engagements.

2. Communication & Correspondence

  • • Handle confidential communication on behalf of the CEO emails, phone calls, memos.
  • • Draft reports, presentations, and responses as required.
  • • Liaise with internal teams, clients, and external stakeholders professionally.

3. Meeting & Event Coordination

  • • Prepare agendas, take minutes, and follow up on action items.
  • • Coordinate logistics for meetings, conferences, and business events.
  • • Ensure the CEO is briefed in advance with necessary documents and updates.

4. Strategic Support

  • • Assist in research, data analysis, and preparation of strategic documents.
  • • Track and manage key projects, deadlines, and deliverables on behalf of the CEO.
  • • Serve as a bridge between the CEO and the senior leadership team for project coordination.

5. Confidential & Administrative Support

  • • Maintain confidentiality on sensitive organizational matters.
  • • Handle administrative tasks such as reimbursements, document filing, and records management.
  • • Manage personal logistics for the CEO when required (optional, based on scope).


Preferred candidate profile

Education & Experience

  • • Bachelors degree required; MBA or equivalent qualification is a plus.
  • • 5–10 years of experience as an Executive Assistant or in a similar role supporting C-suite executives.

Skills & Competencies

  • • Excellent communication and interpersonal skills.
  • • Highly organized, detail-oriented, and proactive.
  • • Strong time management and multitasking abilities.
  • • Proficient in Microsoft Office, Google Workspace, and virtual collaboration tools.
  • • High level of discretion, integrity, and professionalism.


Desirable Traits

  • • Ability to work independently and under pressure.
  • • Business acumen and understanding of organizational priorities.
  • • Flexible, adaptable, and resourceful in solving problems.


Reporting & Relationships

  • • Reports directly to the CEO.
  • • Coordinates with cross-functional teams and external stakeholders as required.
