Job Description

Key Responsibilities:
Team Management & Coordination:
  • Supervise and lead a team responsible for office administration functions, ensuring smooth daily operations.
  • Set priorities, allocate tasks, and ensure efficient task completion.
  • Provide training and support for team development and growth.
  • Work closely with Stakeholder on their requirements.
Office Operations Management:
  • Oversee courier management, ensuring timely deliveries and proper record-keeping.
  • Manage front office operations, ensuring a professional, welcoming environment.
  • Supervise cab booking, bill processing, and related administrative tasks.
  • Oversee pantry and housekeeping functions, ensuring cleanliness and proper supply management.
  • Manage stationery, consumables, and new joiner lunch arrangements.
  • Ensure office repair and maintenance are conducted promptly.
  • Coordinate with Building Management for seamless operation.
  • SPOC for Exit formalities for the department.
  • Oversee members facility related requirement.
  • Create data base for AMC, Tracker, and Accruals.
  • Lead Audits related to Facility.
Facilities & Event Coordination:
  • Manage morning office setup, meeting room arrangements, and ensure a positive work environment.
  • Plan and execute office events, team-building activities, and celebrations.
  • Oversee the printing and distribution of ID cards and visitor cards.
Vendor & Invoice Management:
  • Ensure timely processing of monthly vendor bills, rent, and maintenance invoices.
  • Coordinate with vendors for hotel bookings, Vodafone bills, and other office-related services.
CSR, Sports, & Offsite Activities:
  • Coordinate CSR activities, sports events (cricket, trekking), and offsite events to enhance employee engagement.
Finance & Compliance:
  • Manage petty cash, parking deductions, and ensure the timely processing of GST-related queries.
  • Oversee agreements, provision management, and ensure compliance with all legal and financial documentation.
  • Get quarterly Vendor Balance Confirmation from the vendor to avoid any outstanding.
Key Qualifications & Skills:
  • 6-9 years of experience in office administration, with at least 3-4 years in a leadership role.
  • Strong leadership, multitasking, and organizational skills.
  • Excellent communication skills (verbal & written).
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
  • Experience in vendor management, procurement, and facilities operations.
  • Ability to resolve issues quickly and efficiently in a fast-paced environment.
Key Attributes:
  • Proactive, detail-oriented, and able to work independently.
  • Strong interpersonal skills with the ability to work at all levels.
  • Excellent time management and prioritization abilities.
