Job Title - Import Executive

Location - Chhatarpur, Delhi

Job Summary:

We are seeking a detail-oriented and proactive Import Executive to manage and streamline the end-to-end import operations. The ideal candidate will be responsible for coordinating with freight forwarders, CHAs, and shipping lines; ensuring timely documentation; maintaining compliance with import regulations; and overseeing shipment tracking from dispatch to delivery at the warehouse.

Key Responsibilities:

• Freight Coordination & Comparison
• Request and compare quotes from multiple freight forwarders.
• Select the most efficient and cost-effective option based on quote analysis.
• Shipment Management
• Coordinate with nominated CHAs and shippers to initiate shipments.
• Ensure continuous tracking and follow-up on shipments from departure to arrival.
• Documentation & Compliance
• Prepare and update:
• Upcoming shipment sheet
• Expense sheet
• Vendor payment sheet
• Import-Inventory sheet
• Other sheets as required
• Capture and maintain Medical Device Rule screenshots in relevant portals.
• Prepare Commercial Invoice (CI) and Packing List (PL) for upcoming shipments.
• Arrange insurance for shipments.
• Submit necessary documents to CHAs and verify checklist for filing.
• Customs & Regulatory Knowledge
• Strong understanding of Air, Sea, and Courier import documentation and processes.
• Familiarity with Custom Tariff, Notifications, and HS Code classifications.
• Calculate customs duty for BOEs (Bill of Entry) and update duty payments accordingly.
• Vendor & Cost Management
• Review and verify invoices from forwarders and CHAs monthly.
• Ensure timely and accurate updates of payment records.
• Digital Operations
• Book shipments via the FedEx portal and manage digital documentation.
• Field Operations
• Handle on-ground import tasks as required.
• Coordinate with freight forwarders, CHAs, shipping lines, and airline personnel.
• Flexibility & Commitment
• Adapt to new tasks related to import operations.
• Willingness to work on Sundays or public holidays if required.

Required Skills & Qualifications:

• Proven experience in import operations or logistics coordination.
• Sound knowledge of import procedures and documentation (Air, Sea & Courier).
• Familiarity with customs rules, tariffs, and HS code classifications.
• Proficiency in MS Excel and online portals (e.g., FedEx, customs systems).
• Excellent coordination, follow-up, and communication skills.
• Ability to work under pressure and handle multiple tasks simultaneously.
• Willingness to work flexible hours and travel for field-related duties.
