Position: Executive Assistant

Experience: 5+ years

Qualification: MBA

Location: Pune

Notice Period: Immediate, Serving or 30 Days

Role & responsibilities


Strategic and Operational Support:


  • Provide proactive assistance to the Director in delivering overall business objectives and strategic goals.
  • Take on special assignments as directed by the Director, with responsibility for ensuring timely completion and quality outcomes.
  • Act as an advisor and consultant to Department Heads and the Director on key issues and to improve cross-functional collaboration.

Project and Initiative Coordination:


  • Monitor and coordinate the delivery of key assignments, tracking progress and outcomes on behalf of the Director.
  • Conduct regular project and operational reviews, including scheduled site visits, to ensure alignment with organizational goals and the Directors expectations.
  • Support the implementation of the Balanced Scorecard (BSC), facilitating monthly BSC reviews to monitor strategic and operational initiatives.

Meeting Management and Communication:


  • Coordinate, attend, and document key meetings, including drafting minutes and summarizing action points.
  • Engage with Departmental Heads to set timelines for report submissions and relevant documentation, ensuring adherence to deadlines.
  • Accompany the Director for critical meetings and project site visits; prepare visit reports and follow up on agreed actions to maintain accountability.

Research and Analysis:


  • Conduct in-depth research and analysis in collaboration with Heads of Departments to develop accurate MIS reports, performance metrics, and strategic recommendations.
  • Review MIS and operational reports, identifying areas for improvement and communicating these insights to both Department Heads and the Director.
  • Prepare presentations, documents, and reports required by the Director for key meetings, focusing on data-driven insights and actionable recommendations.

Performance Monitoring and Improvement:


  • Follow up on departmental work plans and cross-functional programs, providing regular status updates to the Director.
  • Track and highlight areas requiring immediate attention, identifying opportunities for operational improvements across departments.
  • Facilitate the Directors focus on high-priority areas by managing the follow-up on action items from meetings.

Functional Responsibilities:


  • Take responsibility for certain functional areas, projects, or assignments as delegated by the Director, ensuring end-to-end oversight and timely delivery.
  • Maintain clear, professional communication with Departmental Heads to support smooth interdepartmental processes and alignment with the Director's vision.

Presentation and Documentation Preparation:


  • Assist in preparing presentations, project documentation, and other essential materials for the Directors interactions with internal and external stakeholders.

Preferred candidate profile


1. Educational Background: Masters degree in Business Administration or related field.

2. Experience: Minimum of 5 years of experience as an Executive Assistant, preferably with exposure to strategy, MIS, and cross-functional coordination.

3. Technical Skills: Proficient in MS Office Suite (Excel, Word, PowerPoint), data analysis and familiarity with ERP

4. Strong analytical skills with experience in MIS reporting and Balanced Scorecard implementation.

5. Ability to handle multiple tasks, prioritize effectively, and work independently

6. Excellent communication and organizational abilities.

7. High level of integrity and professionalism.

8. Tact and discretion for dealing with confidential information

9. Warm and likeable personality with good interpersonal skills

10. Proactive and ability to think ahead
