Key Responsibilities:
- Maintain accurate monthly attendance registers for all employees.
- Proactively inform the Operations team regarding employees exceeding 5 days of Loss of Pay (LOP).
- Process timely and accurate monthly payroll for permanent employees.
- Verify payroll inputs and attendance records for consultants.
- Manage salary holds for exited and resigned employees according to company policy and role requirements.
- Generate actuarial valuation reports (e.g., Leave Balance & Gratuity provisions).
- Handle monthly Full and Final (F&F) settlements, ensuring all exit formalities are completed.
- Process monthly employee reimbursements accurately.
- Manage annual or periodic bonus payouts.
Taxation & Compliance:
- Update Provident Fund (PF), Employee State Insurance (ESIC), and Professional Tax (PT) statuses for new joiners in the HRIS (Darwinbox).
- Ensure UAN and ESIC numbers are updated for all new joiners.
- Coordinate with consultants, providing new joiner data and required compliance forms.
- Initiate and manage the collection of declaration forms for new joiners.
- Follow up annually with vendors to ensure timely filing of compliance returns related to Maternity Benefit Act, POSH, and Shops & Establishment Act.
- Manage the annual Income Tax declaration process, including opening the declaration window and verifying Proof of Investment (POI) submissions (typically in January).
Darwinbox (HRIS) Management:
- Create and manage site setups and geofencing configurations within Darwinbox.
- Maintain and update organizational structures including Designations, Departments, and Cost Centres in the system.
- Update and implement HR policies within the Darwinbox system.
- Manage the employee separation process in the system, including approvals and updating necessary forms.
Reporting & Analysis:
- Prepare and submit weekly HR & Operations MIS reports.
- Generate monthly zone-wise Profit & Loss (P&L) reports related to HR costs.
- Perform quarterly data reconciliation between HRIS (Darwinbox) and Accounts (Tally).
- Prepare ad-hoc MIS and reports as required by Management, CXOs, or Business Heads.
Other Responsibilities:
- Maintain and update the Performance Management System (PMS) master data.
- Issue PMS-related letters and documents as required.
- Handle employment verification requests for ex-employees.
Required Qualifications:
- Bachelor's/ master Degree (Any Graduate).
- Minimum of 5 years of hands-on experience specifically in Payroll processing and HR Operations.
- Strong understanding of Indian payroll, statutory compliance (PF, ESIC, PT, Gratuity, Maternity Benefit Act), and taxation.
- Experience working with HRIS/Payroll software.
- Proficiency in MS Excel for data analysis and reporting.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
Preferred Qualifications:
- Hands-on experience with Darwinbox HRIS is highly preferred.
- Experience in the Real Estate or Co-working industry is a plus.
