Job Description

 We are seeking a highly organized and detail-oriented Administrative Assistant to join our team and provide crucial support in managing day-to-day administrative tasks. The ideal candidate will be a self-starter with excellent communication skills and a proactive approach to problem-solving. As an Administrative Assistant, you will play a pivotal role in ensuring smooth office operations, enhancing efficiency, and enabling our team to focus on core business activities.
 
Responsibility:
  • Perform a wide range of administrative tasks, including managing phone calls, emails, and correspondence.
  • Coordinate and schedule appointments, meetings, and events, ensuring calendars are up to date.
  • Prepare and distribute internal and external communications, memos, and reports.
  • Organize and maintain physical and electronic filing systems, ensuring data integrity and confidentiality.
  • Assist in managing travel arrangements, including booking flights, accommodations, and transportation for team members.
  • Support HR functions, such as maintaining employee records, assisting with onboarding and offboarding processes, and coordinating office celebrations.
  • Order and maintain office supplies, ensuring availability and proper inventory management.
  • Assist in preparing and proofreading documents, presentations, and spreadsheets.
  • Serve as a point of contact for clients, suppliers, and stakeholders, delivering professional and courteous assistance.
  • Provide administrative support to the executive team, as required.
Requirements:
  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in using office software (e.g., Microsoft Office Suite, Google Suite).
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in data entry and record-keeping.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills and ability to work effectively in a team-oriented environment.
  • Flexibility and adaptability to handle changing priorities and meet deadlines.
  • A proactive and self-motivated approach to work, with a problem-solving mindset.
  • Knowledge of HR processes and procedures is a plus.
