External Finance Department

The current opening is for the External Finance department of our firm. External Finance serves as the primary point of contact for finance-related matters for multinational companies, both in India and on global level. These companies often do not have a dedicated Finance Department, as External Finance assumes full responsibility for all finance-related tasks. The core responsibilities of External Finance include maintaining accurate books of accounts, ensuring compliance with applicable regulations, and performing necessary tasks to meet regulatory requirements. The team efficiently manages payroll processing, ensuring timely and accurate payments. Additionally, External Finance collaborates with other departments to address their financial queries and meet their financial needs. To improve efficiency, they implement robust automation systems that streamline financial processes within the organization. The Team handles task in relation to accounting on global level.

Job description

We are seeking an organized and detail-oriented Accounts Payable (AP) Associate to join our finance team. The ideal candidate will have 3-5 years of AP experience, with a strong understanding of financial processes and a passion for ensuring accuracy in payment processing. As an AP Associate, you will play a key role in managing invoices, vendor payments, reconciliations, and assisting with monthly financial reports.

Role & responsibilities

Invoice Processing:

• Process vendor invoices and ensure they are properly matched with purchase orders or contracts.
• Verify the accuracy of invoice amounts, account coding, and approval signatures before processing.

Payment Processing:

• Prepare payments via check, ACH, wire transfer, and credit cards, ensuring payments are processed on time.
• Ensure compliance with company payment policies and schedules.

Vendor Management:

• Maintain updated records for vendor contacts and payment details.
• Resolve vendor inquiries and discrepancies, ensuring timely communication and issue resolution.

Reconciliation:

• Assist with monthly AP reconciliations, ensuring all transactions are correctly recorded.
• Support the preparation of financial reports related to accounts payable.

Compliance & Documentation:

• Maintain complete and accurate records of all AP transactions in line with internal controls and audit requirements.
• Assist in internal and external audits by providing necessary documentation and reports.

Skills and Qualifications:

• Education: Bachelors degree in accounting, Finance, or a related field.
• Experience: 3-5 years of accounts payable experience

Technical Skills:

• Proficient in Microsoft Excel (e.g., pivot tables, VLOOKUP).
• Experience with ERP systems such as NetSuite is a plus.

Soft Skills:

• Strong attention to detail and analytical skills.
• Excellent communication and interpersonal abilities.
• Ability to prioritize tasks and meet deadlines in a fast-paced environment.
